Plumbing Estimating Class
💻 Module 7: Estimating Software & Tools
Build a digital workflow that’s fast, consistent, and auditable—from plan takeoffs and quote leveling to BOM exports, cost codes, and proposal packaging.
📘 Overview
This module maps the plumbing estimating tech stack: plan readers & digital takeoff, assembly/BOM tools, quote-leveling and vendor imports, cost code mapping, proposal output, and data governance. You’ll leave with templates and a step-by-step implementation plan your team can adopt immediately.
🎯 Learning Objectives
- Set up reliable digital takeoff workflows with calibrated scales and layers.
- Create reusable assemblies & item catalogs for fixtures, pipe, and hangers.
- Standardize vendor quote imports and quote-leveling comparisons.
- Export clean BOMs and labor to spreadsheets/ERP with cost codes.
- Package compliant proposals and maintain a secure, auditable data trail.
Plan Reading & Digital Takeoff
- Import PDFs, calibrate scale, set profiles for plumbing layers (CW/HW/DWV/Storm).
- Use count tools for fixtures/valves and polyline for pipe runs by size.
- Color-code systems, save snapshots, and export quantities to CSV.
Assemblies & Item Catalogs
- Define pipe-by-size assemblies (material + fittings + hangers + insulation).
- Fixture kits (rough + trim), valve kits, roof drain kits.
- Version control: tag each catalog with date, region, and price basis.
Vendor Quotes & Leveling
- Standard import columns (SKU, size, spec, lead time, quote #, expire date).
- Compare landed cost (base + freight + tax) and scope notes side-by-side.
- Flag exceptions: substitutions, backorders, MOQ, partial shipments.
Exports, Cost Codes & ERP
- Map items → Uniformat/MasterFormat or your internal cost codes.
- Export BOM, labor, and alternates as CSV/XLSX; keep stable column order.
- Maintain import specs for accounting/ERP (naming, units, decimals).
🧩 Core Digital Workflows
- Set Scale & Layers: Calibrate once per sheet; lock layer colors (CW=blue, HW=red, DWV=green, Storm=purple).
- Count & Measure: Use symbols for fixtures/valves; polylines for pipe by size with automatic totals.
- Apply Assemblies: Link measured quantities to assemblies for instant BOM & labor.
- Vendor Import: Pull quotes into a leveling sheet; select preferred + backup supplier.
- Export with Codes: Push BOM/Labor to CSV with cost codes and alternates/allowances tagged.
- Package Proposal: Auto-fill bid form, alternates, unit prices, and clarifications.
- Archive: Save PDFs, CSVs, and snapshots under a consistent job folder standard.
QA Checks
- Random re-measure: 1 sheet per system.
- Fixture counts tie to schedule totals.
- Pipe totals reconcile with riser diagrams.
Data Hygiene
- Stable column headers in all exports.
- One unit of measure per column.
- Version labels: YYMMDD-rev.
Security & Licensing
- Role-based access to job folders.
- Central license tracker; renewals calendar.
- Backups & read-only archives for bids.

🧪 Practice Exercise (45–60 min)
- Calibrate one plan sheet and set plumbing layers; export a snapshot PDF for records.
- Measure 100 LF of 1" CW and 80 LF of 4" DWV; link to assemblies and export a BOM CSV.
- Import two vendor quotes using the Vendor Import Spec; complete the Leveling Template.
- Map all BOM lines to the Cost Code Map and export a coded CSV.
- Use the Proposal Output Map to assemble a client-ready PDF.
👩🏫 Teacher Notes (Facilitation Guide)
- Demo (10 min): Scale calibration + color-coded layer setup.
- Workshop (20–25 min): Counts/measurements → assembly link → BOM export.
- Apply (10–15 min): Import two quotes; complete leveling; choose preferred + backup.
- Debrief (5 min): Show how stable column headers speed ERP imports and reduce errors.
