From Takeoff to Project Schedule | Intern Academy

Phase 1: Pre-Planning

  • Review Project Scope: Identify HVAC systems and project phasing.
  • Complete Quantity Takeoff: Ducts, equipment, piping, insulation, and accessories.
  • Assign Labor Units: Apply manhours per unit and adjust for productivity.
  • Group Work Packages: Rough-in, equipment set, testing, trim, and control.

Phase 2: Build the Schedule

  • Define Activities: Break down work (e.g., install duct trunkline).
  • Sequence Activities: Follow logical trade flow from submittals to commissioning.
  • Estimate Durations: Use total labor ÷ crew size to calculate time.
  • Identify Dependencies: What must be completed before next activity?

Phase 3: Monitor & Adjust

  • Assign Resources: Allocate crews and plan for delivery lead times.
  • Set Milestones: Define key points: rough-in complete, startup, final inspection.
  • Track Progress: Monitor weekly and adjust as needed.

Tip: Use Gantt charts or software like Smartsheet, MS Project, or Excel to visualize schedule.
